Executive Assistant

We are seeking an experienced Executive Assistant to join SparkLabs Taiwan, a vibrant part of the global SparkLabs accelerator network. Since our establishment in 2018, we've accelerated more than 60 startups, and we're looking for an individual who can contribute to our dynamic work environment.

A short brief on your role

As the Executive Assistant at SparkLabs Taiwan, you will play a pivotal role in supporting our managing partner and contributing to our organization's overall efficiency and positive culture. Your responsibilities will encompass managing calendars, coordinating seamless travel arrangements, and screening and directing communications. Additionally, you will actively contribute to the success of our startup accelerator program, assisting with program logistics and supporting the growth of participating startups.

Your role extends beyond traditional executive assistance, as you will play a vital part in SparkLabs Taiwan's business development and strategy. You will work closely with the managing partner to streamline office operations, handle financial responsibilities, and organize impactful company events. Your strategic initiatives will contribute to the overall brand and culture and align with our company's business development goals.

Responsibilities

  • Manage executives’ calendars, ensuring efficient scheduling and prioritization of meetings and events.
  • Coordinate and execute seamless travel arrangements and accommodation for executives, including flight and hotel bookings.
  • Screen and direct phone calls, managing all correspondence promptly and professionally.
  • Assist in meeting preparation, accurately recording minutes, and handling follow-up actions.
  • Oversee full-cycle recruitment processes, from talent sourcing to onboarding, contributing to team growth.
  • Implement and manage the Employee Recognition program, fostering a positive and inclusive work culture.
  • Streamline office operations to enhance efficiency and create a conducive work environment.
  • Handle financial responsibilities, including basic bookkeeping and managing partner reimbursements.
  • Organize and execute company events, including logistics, decoration, and coordination of special gifts.
  • Contribute to the company's branding and culture through strategic initiatives and promotional activities.

Requirements

  • Proven experience as an executive assistant or in a relevant administrative support role within a global organization, venture capital, or startup.
  • Exceptional organizational and time management skills, capable of managing multiple tasks in a fast-paced environment.
  • Experience handling recruitment and other HR-related tasks.
  • Proficient in Microsoft Excel and G Suite applications.
  • Proactive problem-solving skills with the ability to adapt to the dynamic nature of venture capital and startup ecosystems.
  • Excellent verbal and written communication skills in both Chinese and English to facilitate seamless cross-cultural interactions.
  • Previous exposure to the startup scene or venture capital industry, demonstrating a clear understanding of its unique challenges and opportunities.

Preferred

  • Familiarity with global business operations and cultural nuances, contributing to effective communication and collaboration.
  • Strong strategic thinking and business acumen to actively contribute to thecompany's business development and global growth strategies.
  • Previous involvement in startup accelerator programs, highlighting a keeninterest in fostering entrepreneurship and innovation.
  •  Tech-savvy mindset with the ability to leverage digital tools and platforms toenhance operational efficiency.
  • Understanding of financial processes relevant to venture capital operations,including basic bookkeeping and expense management.
